Accessing your todos
Click Todos in the main sidebar to open the task overview. This page lists all your todos, both manually created and system-generated, organized by status.Todo types
Manual todos
These are tasks you create yourself. Use them for anything you need to remember: sending a proposal, following up with a client, reviewing a contract, or any other business task.Automatic todos
Aourly generates todos automatically when certain events happen in the system:- Gig approval reminders — when an gig is waiting for client approval
- Invoice review reminders — when an invoice needs to be reviewed or is overdue
- Time review reminders — when a timesheet needs to be reviewed and approved
- Overdue invoice alerts — when a client has not paid on time
Creating a todo
- Open the Todos page from the sidebar
- Click Create to open the creation form
- Enter a title for the task (keep it short and actionable)
- Optionally add a description with more details
- Set a due date if the task has a deadline
- Save the todo
Todo statuses
Every todo has one of three statuses:| Status | Meaning |

| Open | The task is active and needs attention |
| Completed | The task has been finished |
| Cancelled | The task is no longer relevant and was skipped |
Filtering and organizing
Use the status filters on the Todos page to show only the tasks you care about right now. For example, filter to Open to see only active tasks, or look at Completed to review what you have accomplished.Todos attached to records
Todos are not just a standalone list. They can be connected to specific records in Aourly:- Gigs can have related todos (for example, “Get client approval for website project”)
- Invoices can have related todos (for example, “Follow up on unpaid invoice #1042”)
- Timesheets can have related todos (for example, “Review March timesheet before invoicing”)
Dashboard widget
Your dashboard includes a todo widget that shows upcoming and overdue tasks. This gives you a quick overview of what needs attention as soon as you log in, without having to navigate to the Todos page. The widget prioritizes:- Overdue todos (past their due date)
- Todos due today
- Upcoming todos (due in the near future)
Tips for effective task management
- Check your todos daily. A quick glance at the dashboard widget takes seconds and keeps you from missing deadlines.
- Act on automatic todos promptly. They usually represent actions that are blocking other workflows, like an invoice that cannot be sent until you review it.
- Use specific titles. “Follow up with Anna at TechCorp about March invoice” is more useful than “Follow up.”
- Close completed tasks. Marking todos as completed keeps your open list focused on what actually needs doing.
Frequently asked questions
What types of automatic todos does Aourly create? The system creates todos for pending gig approvals, invoice reviews, timesheet reviews, and overdue invoices. Each todo is created for the person responsible for taking action. Can I assign a todo to someone else? Todos are personal. Each user sees their own todos. Automatic todos are assigned to the person who needs to take the action. Do completed todos get deleted? No. Completed and cancelled todos remain in the system for your records. Use the status filter to hide them from your active view. Can I set reminders? Todos with due dates appear in your dashboard widget as they approach or become overdue. The system surfaces the most urgent tasks automatically.Todos can be attached to specific records like gigs, invoices, and timesheets. When you view one of these records, you can see its related todos directly.
